Human Resources Assistant Full Time

Department: Human Resources
Location: Columbus, GA

Position Goal

Responsible for performing timely and accurate administrative support for Hughston Human Resources Department.

Position Responsibilities:

  • Completes assignments as instructed.
  • Responsible for ensuring I-9 information is correct and E-Verify is completed timely
  • Responsible for greeting all guests, visitors, employees, etc. at HR location (secure door).
  • Assist recruitment as needed with making calls, scheduling interviews, performing interviews etc
  • Creates reports as needed for HR Leadership/Administration.
  • Manages the 90 day assessment; ensure completed timely (competency included if needed). Notifies HR Leadership of outstanding issues.
  • Coordinates EOQ process each quarter.
  • Responsible for collecting and distributes HR mail each morning to appropriate party.
  • Responsible for selling Movie Tickets to employees, must turn in money to finance on an appropriate schedule as to avoid cash accumulation in department.
  • Assists HR department with coordinating clinic special events/clinic celebrations, employment related events, special projects as needed.
  • Responsible for managing all HR filing; ensuring files are kept up to date, and file area is organized. All records should be promptly filed in an appropriate location (hire/term).
  • Responsible for the employee bulletin board compliance process at each facility. Each board must be kept up to date ensuring federal and state compliance (including W/C information/panel of physicians).
  • Coordinates New Hire Orientation packets. Inform HR Manager of outstanding items timely.
  • Communicates new hires with uniform partner timely
  • Coordinates annual uniform allocation with uniform partner
  • Completes annual MVR on Hughston employees (per position)
  • Manages Hughston occurrence portal reporting/responding to Liability Carrier as needed. Escalate to HR Leadership as needed.
  • Maintains strictest confidentiality at all times.
  • Serves as departmental gatekeeper, directs questions to appropriate party for resolution.
  • Perform other duties as assigned by Management.

Experience:

Required:

  • One-year prior Clerical/Administrative experience required

Preferred:

  • Human Resource experience preferred

Education:

Required:

  • High School Diploma or equivalent required. 

Special Qualifications:

Required:

  • Must have knowledge of Microsoft Office suite (Word, Power point and Excel)
  • Must be able to work independently
  • Familiarity with I-9 and E-Verify process
  • Familiar with general HR processes and procedures
  • Must have the ability to develop and control processes-recommend changes as needed.
  • Must be detail oriented and have excellent organizational ability.
  • Must perform work timely and accurately.
  • Must be able to work in stressful situations.
  • Must use good judgment in performance of daily duties and tasks.
  • Must have excellent communication skills verbal, non-verbal, and written
  • Must have a valid driver’s license and satisfactory Motor Vehicle Record (MVR)
